Controller and scope
NEXT SENSE AI LTD is the controller for personal data processed through FileToDone. This notice covers the public website, free Quick Review, paid jobs, private Job Pages, downloads, result email and support correspondence.
Data we process
We process the files and instructions you choose to provide, file metadata and checksums, optional result-email address, locked job plan, generated results and source references. Our infrastructure also processes request, browser, IP-derived security, consent, attribution, error and diagnostic data needed to operate and protect the service.
Stripe handles payment details. We retain transaction identifiers, amount, currency, status, fees and refund facts needed to verify and reconcile a purchase, but FileToDone does not store full card details. Do not upload secrets or information you are not authorised to provide.
Purposes and lawful bases
We process job inputs, email and delivery records to take requested pre-contract steps and perform the paid service. Limited security, abuse-prevention, reliability and support data is processed for our legitimate interests in safely operating FileToDone. Records may also be processed to meet legal obligations and establish or defend claims.
Optional analytics is consent-based and stays off until accepted. You may withdraw that consent for future analytics without affecting the job service.
Service providers, AI and transfers
The active configuration determines which provider receives the minimum data needed. Vercel delivers the web interface; Google Cloud provides private storage, databases and backend processing; Stripe processes Checkout; Resend sends the single result email; and Google Gemini or OpenAI may process selected job content for AI-assisted extraction and synthesis. A job is not sent to every AI provider.
Providers may process data in the UK, EEA, US or other places where they operate. Depending on the transfer, safeguards can include UK or EU adequacy regulations and approved contractual clauses. Production provider changes are gated on review of the active terms, processing agreement, location and transfer mechanism. Contact us for information about the safeguard relevant to your request.
We do not sell customer files, use them for advertising profiles, or use them to train FileToDone-owned models.
Retention and deletion
Unpaid upload and Quick Review sessions expire after 24 hours. For a paid job, private access to source files and results closes 72 hours after delivery. Automatic cleanup may finish later; the storage fail-safe removes each object no later than five days after it was created. Payment, fraud-prevention and accounting records are kept separately only as long as needed for legal, security and reconciliation purposes and do not include customer file contents.
Application access ends at the displayed deadline even if eventual infrastructure cleanup finishes later. Provider security records may be subject to narrowly scoped provider terms; production configuration must align provider-file expiry with the FileToDone window.
Your rights and complaints
Depending on applicable law, you may ask for access, correction, deletion, restriction, objection or a portable copy of personal data, and withdraw consent for future optional processing. Email marketing@nextsense.ai with FileToDone and the non-secret job reference; do not email the private Job Page token or source files. We may need to verify your identity.
You may complain to the UK Information Commissioner’s Office or the data-protection authority where you live or work.
Human review and security
FileToDone produces automated, source-linked drafts, not legal, financial, engineering, procurement or safety approval. Review material decisions against the original files.
We use private storage, scoped access, expiring capability links and server-side credentials. No online service can guarantee absolute security; contact us if a private job link may have been exposed.
